Beckwith Films – Terms of Business

*Applicable to all video production, editing, and content retainers provided by Beckwith Films.
1. Booking & Confirmation
A booking is confirmed once the client has approved the quotation in writing (by email or signed document) and, where applicable, the deposit payment has been received.
Quotes remain valid for 30 days unless otherwise stated.
2. Payment Terms
Invoices are payable within 30 days of issue unless agreed otherwise in writing.
A 30-50% deposit may be required to secure a booking, with the remaining balance due upon final delivery.
Late payments may incur statutory interest and reasonable recovery costs as per the Late Payment of Commercial Debts Act (1998).
Payments are accepted via digital invoice or bank transfer unless otherwise arranged.
3. Cancellation & Postponement
If a confirmed booking is cancelled or postponed by the client:
– 48 hours’ notice or more – no cancellation fee.
– 24-48 hours’ notice – 50% of the agreed fee.
– Less than 24 hours’ notice – 100% of the agreed fee.
Any non-refundable expenses (e.g. travel, accommodation, equipment hire) already incurred will be charged in full.
Postponements or rescheduled bookings may not incur a fee but are subject to the discretion of Beckwith Films and dependent on availability of an alternative date.
4. Travel & Expenses
Travel within my local service area is included in the standard day rate. Travel outside this area is charged at £0.45 per mile (round trip). Exact travel costs will be confirmed at the time of booking.
If travel time prevents other work on the same day:
– Half-day rate applies for partial travel days.
– Full-day rate applies if a full day is required solely for travel.
Reasonable expenses such as parking, tolls, congestion/ULEZ charges, accommodation, and meals are billed at cost with receipts provided.
For projects requiring overnight stays or air travel, accommodation, per diems, and travel arrangements can be organised by the client or billed at cost as agreed in advance.
All travel and expenses will be agreed in advance where possible.
5. Deliverables & Revisions
Two rounds of reasonable revisions are included in the quoted fee unless otherwise agreed.
Additional revisions or new edit requests will be billed at the standard hourly or day rate.
Beckwith Films will make every effort to meet agreed delivery deadlines, but cannot be held responsible for delays caused by circumstances beyond control (e.g. illness, weather, or technical failure).
6. Data Storage & File Retention
Project files and footage are retained on secure storage for 12 months after final delivery unless otherwise agreed.
Long-term storage (beyond 12 months) can be arranged for an additional fee.
It is the client’s responsibility to download and safely store final deliverables within this time frame.
Beckwith Films cannot guarantee the recovery of files once the retention period has expired.
Sensitive materials are stored on encrypted drives and shared securely via Dropbox.
7. Ongoing Content Retainers
For clients engaging Beckwith Films on a retainer or ongoing content schedule:
– Retainers secure a guaranteed number of days or deliverables per month.
– Payment is due monthly in advance, typically via Stripe subscription or digital invoice.
– Unused days or deliverables do not roll over unless agreed in writing.
– Additional work beyond the retainer scope is billed at the standard day rate.
– Either party may terminate the retainer with 30 days’ written notice.
8. Usage Rights & Ownership
Full usage rights are granted to the client only once full payment has been received.
Unless otherwise agreed in writing, Beckwith Films retains copyright ownership of all footage and project files.
The client is granted a non-exclusive licence to use the final delivered videos for the agreed purpose (e.g. website, social media, internal use).
Raw footage, project files, and unused clips remain the property of Beckwith Films unless otherwise agreed.
9. Requests for Raw Footage
Where the delivery of raw footage or project files has been agreed in writing prior to the commencement of the project, such materials will be supplied in accordance with the agreed scope of work.
Any requests for raw footage or project files made after the project has commenced, or where such materials were not included in the original agreement, may be fulfilled at Beckwith Films’ discretion and will be subject to additional fees covering:
– The billable time required to locate, prepare, and process the files.
– The cost of hardware storage media (e.g. hard drives or SSDs).
– Postage, courier, or digital transfer costs, where applicable.
All raw footage will be provided “as is”, without colour correction, organisation beyond standard file structures, or editing support. No technical assistance will be provided following delivery.
Beckwith Films reserves the right to decline raw footage requests where client confidentiality, third-party rights, licensing restrictions, or other contractual obligations prevent distribution.
10. Social Media & Advertising Usage
The agreed licence covers the use of videos across social media platforms (Instagram, Facebook, LinkedIn, YouTube, TikTok, etc.) and digital advertising for the client’s own brand.
The licence does not automatically cover third-party or paid partnerships (e.g. agencies, sponsors, affiliates) – extended usage rights need to be agreed in writing and may incur a fee.
The client is responsible for ensuring that all content complies with advertising regulations, platform policies, and copyright law (e.g. music licensing where this has not been provided by Beckwith Films). Beckwith Films is not liable for platform-level copyright strikes.
11. Credits & Promotion
Beckwith Films reserves the right to use excerpts, stills, or behind-the-scenes material from completed projects for self-promotion, showreels, social media, and portfolio use unless the client requests otherwise in writing prior to production. If the content needs to remain confidential, an exclusive license should be agreed under 8. Usage Rights & Ownership.
12. Liability
While every effort is made to ensure the highest professional standards, Beckwith Films cannot be held liable for loss or damage resulting from circumstances beyond control (e.g. equipment failure, data corruption, illness, or unforeseen travel issues).
Liability is limited to the total value of the contracted fee.
13. Confidentiality
All client information, materials, and discussions are treated as strictly confidential and will not be shared with third parties without written consent. Personal data processed during production is handled in accordance with our Privacy Policy, available on our website.
14. Acceptance of Terms
By confirming a booking or paying a deposit, the client acknowledges that they have read, understood, and agreed to these Terms of Business.
